Office Assistant

We are seeking a highly-organized Office Assistant to provide outstanding management support.


Primary Responsibilities

  • Coordinating and supporting the calendar and activities including calls, meetings, presentations, and other communications.
  • Developing materials (presentations, reports, scripts, etc.) for key meetings and events with staff
  • Manages multiple calendars, tasks, email communication, and travel arrangements
  • Performing administrative functions, in support of the Executive Director, such as note-taking, document preparation, invoice submission, and data entry.
  • Creating databases, conducting research, and carrying out other projects as prescribed.
  • Oversees day-to-day office operations, including purchasing office supplies and maintaining office equipment
  • Maintains department documents including scanning, saving, and organizing folder structures in accordance with document retention procedures
  • Prepares, submits, and tracks expense reports
  • Prepares documents including drafting correspondence, presentation packaging (including graphics, charts, and graphs), and spreadsheets

Desired Skills & Abilities:

  • Minimum 3-5 years office and administrative experience
  • Exceptional professionalism.
  • Exceptional ability to recognize potentially sensitive situations and maintain the highest level of confidentiality.
  • Exceptional organizational skills and attention to detail.
  • Excellent oral and written communication skills.
  • Bilingual (English/Spanish) preferred.
  • Excellent phone manner.
  • Excellent ability to work independently and with good judgment.
  • Strong ability to prioritize multiple assignments to meet deadlines.
  • Experience making and managing travel arrangements without using a travel agent to coordinate airlines, hotels, and ground transportation
  • Highly proficient in MS Office (i.e. Word, Excel, Outlook)
  • Strong proficiency in creating PowerPoint presentations.
  • Strong keyboarding and proofreading skills.
  • Excellent time management and organization skills including the ability to prioritize, support, and anticipate the needs of several managers with initiative and enthusiasm

Job Type:

  • Full-time

Schedule:

  • 8 Hour Shift
  • Monday to Friday
