JOB DESCRIPTION POSITION HR/Sales Coordinator SUMMARY OF POSITIONThe role is responsible for office, sales and human resources administrative duties with the focus on continual process improvement (quality) for the company.RESPONSIBILITIESOffice Support:Acts as liaison to other departments. Manages office equipment and related purchases and leases.Maintains office supply inventory and places orders with Purchasing Department.Coordinates the maintenance of phones and voicemail system with the assistance of IT dept.Monitor and maintains organization of Office Areas (HR Office/Cage/Kiosks/Conf Rms/break rooms)Vending Machine managementOffice setup/managementLandlord point of contact - handle requests for informationAnnual license renewal schedule and reminders (permits, contracts, health licenses)Contract filing as neededPlanning travel as neededExpense handling (credit card charge classifications, receipts, submittals) for leaders as neededManage hotel and travel agreements as neededCoordinate and Prep presentations for Meetings. Prep conference rooms for meetings, as needed.Coordinate weekly executive staff meetingsUpdate company calendar/executive calendarCoordinate luncheons, run errands as neededManage Templates - Word, Excel, PowerPointMisc. Admin - visitors, badges, parking spots Sales Support: Marketing - graphics, label designs and approvalsCustomer documentation requestsContracts: tracking, updates/renewals, recordationSample coordination & demo trackingIndustry event coordinationTV Monitor UpdatesPricing: tracking pricing analysis requests, approvals, and contractsHR Support:Assist with employee customer service (ADP login assistance, PTO questions, creating ID badges, Attendance points balances)Suggestion Box (retrieval, refilling forms, entering in log and follow-up, Qtrly updates)Benefit Assistance (answering questions, resolving issues, contacting Corp/provider). Support with open enrollment.Upkeep of training files on drive.Assist with following up with Roundtable action items and evaluation reportsCoordinate and/or Assist with Plant Events/Celebrations/Townhalls/RoundtablesCreate Flyers for events or translationsRegistering of Associates in Biometric SystemAssist with scheduling and following up with interviews.Update Communication BoardsProcess and update personal address and/or phone numbersLocker Maintenance/ManagementManage/update Disciplinary Action Tracker/ HistoryFiles, Sorts Correspondences, Copy/Fax/Scan Doc's, Emails, Memos, Telephone CallsIdentify creative yet inexpensive benefit opportunities like employee discounts SKILLS REQUIREDCandidate must have experience in operations administration and be highly experienced in all administrative aspects.Highly motivated person who can multi-task and handle a high volume of work with accuracy in a fast-changing environment.Ability to be an independent thinker and be resourceful to find solutions to problems. Team oriented with great people and customer service skills.Experience with Fed-ex, UPS and LTL shipments. Must possess good (intermediate) computer skills in MS Office (Excel, Powerpoint).
