Job Description:

Project Manager for assigned projects for special projects, which may include, planning meetings, creating presentations, tracking, reporting progress and any other service line related projects, etc. Facilitates efficient execution of the Executive Leadership projects and activities by vetting internal and external requests, directing assignments to appropriate staff, working closely with the service line Leadership team. Manages correspondence, manage invoice approval process through payment, leading research and briefing preparation. Works independently as a project manager for special events Provides administrative support to the Service Line Leadership Team and manages the day-to-day operations for the Executive Leadership. Serves as the primary liaison to internal and external partners; functions as an extension of the Executive Leadership by anticipating needs and proactively addressing issues. This is a hybrid remote position with the opportunity to work in our Ontario office 1 day per week and the remainder of the week from home. For this reason, we are looking for candidates who live locally in the Ontario area.We are offering $1,500 hiring bonus!

ESSENTIAL FUNCTIONS:Works independently and/or as a team member on various projects. May act as the project manager for special projects, planning meetings, creating presentations, tracking and reporting progress, etc.Researches/analyzes data and compiles reports, presentation materials, or summaries, selecting relevant information from a variety of sources and preparing them for dissemination and/or presentation.Centralizes information and delivers it to the right stakeholders. Reports on overall progress and health of projects, status of milestones and deliverables, financial information about budget & expenditures, project risks and progress on mitigating these risks, project performance, effectiveness of management and utilization of resources, among other factors. Generates adhoc reports as requested.Uses independent judgement and discretion to perform ongoing assessments of risk and issues across projects, and suggests solutions or mitigation options where applicable. Addresses urgent issues or shortfalls timely and effectively.Ensures seamless team collaboration and communication among all members associated to the project. Additionally, he/she helps in aligning distributed and remote teams and bringing everyone on the same page.Serves as the liaison and gatekeeper to internal and external stakeholders and associates, ensuring timely and appropriate management of all inquiries. Screens calls and visitors and determines who can be redirected to other associates for resolution. Provides information to key internal and external sources, requiring comprehensive knowledge of organizational structure, policies, practices and operations.Provides general and executive administrative support to the service lines and to other Leadership Staff as needed. Drafts correspondence, creates memos, charts, graphs, visual presentations, etc. Proofreads for spelling, grammar and layout, making appropriate changes and assuring a high degree of clarity and accuracy. Files and maintains records. Responds to requests for information and disseminates pertinent information to staff on behalf of the service lines or Executive Leadership.Coordinates with the service lines, Executive Leadership team and other staff to ensure timely completion of action items identified as strategic priorities.Maintains executive's calendar, schedules meetings, coordinates conferences and travel, and organizes special events as needed.May Plan, support, internal & external activities allowing for collection of data & information from associates, participants, key stakeholders, and funders.May Participate in quality improvement activities, data collection, and tracking.May Research/analyze data and compiles reports, presentation materials, or summaries, selecting relevant information from a variety of sources and preparing them for dissemination and/or presentation. Performs other duties as assigned.

EDUCATION:Typically requires an Associates Degree.Project Management certification preferred.EXPERIENCE:5 years of experience in progressively responsible project management and administrative duties, or a combination of education and experience that demonstrates the ability to perform the core responsibilities of the position.KNOWLEDGE, SKILLS, ABILITIES:Demonstrated proficiency in MS Office Applications (Outlook, Word, PowerPoint, Excel).Proficiency in scheduling and managing Teams and/or Zoom meetings.Technology savvy willing to learn new systems and tools.Ability to communicate effectively through oral and written skills with all levels of associates and the public.Ability to skillfully deal with internal associates and external partners respectfully, professionally and with diplomacy and tact.Ability to maintain confidentiality and exercise a high level of discretion.Proven ability to work effectively in a team environment.Demonstrated ability in preparing accurate information for presentation via research, writing and compilation of data.Excellent organizational and analytical skills with great attention to detail.Ability to coordinate, prioritize, and implement multiple and shifting tasks.Ability to consistently demonstrate good judgment and decision making skills.Ability to be focused and flexible while shifting/changing priorities.Ability to obtain and maintain a criminal record/fingerprint clearance from the Department of Justice and Federal Bureau of Investigation per Easterseals Southern California and/or program requirements.Must pass all drug testing required by ESSC.
