Our client provides freight forwarding services globally with offices in Australia, USA and the UK. Established in 2008, they have developed a trusted network of international partners and agents. They provide customized solutions for all shipping needs.

General Manager, Freight Forwarding
Our client is looking to add a General Manager to their expanding team. This position will be responsible for managing workflow of the team, ensuring any IT issues are dealt with to ensure maximum output from the team, attend weekly meetings with the President, and other various duties assigned.

Job Type: Full-time

Responsibilities:

  • Managing workflow for the team which includes but not limited to: Processes/delegation of files/Philippines tasks / Import/Export control, working through opportunities & issues early and responding to them.
  • Assisting Operations team with processing files.
  • Team meetings for: Ops/Sales/Accounts: Scheduling weekly meetings (min) with each team separately. This is in addition to daily huddles.
  • Ensuring every meeting has an agenda and ensuring topics are addressed.
  • Arranging quarterly individual check-in meetings for employees to go over stress points and performance.
  • Ongoing weekly management meeting with MD regarding company performance, reports, and opportunities.
  • Liaising with Australian management ensuring KPI's & work targets are met.
  • Creating job descriptions for new employees.
  • Assisting President where applicable with any Australia / NL branch office workload/processes/assistance
  • Ensuring accounts team are aware of any outstanding invoices (detention/overseas agents) are actioned to ensure no delay in release of shipments or delivery.
  • Liaising with accounts team to ensure operations are processing invoices in a timely manner to meet deadlines i.e month end, year-end, payment before delivery.
  • Work closely with the President to ensure that the company's core values are being met; stretch goals (monthly quarterly/yearly) are being set up along with developing & implementing growth strategies.
  • Reports to and has weekly meetings with the President.
  • Helping team succeed and excel, encouraging, defining expectations, and updating their roles as they progress.
  • Engagement, talks, empathy, check in's, being approachable & present, speaking with team when KPI's aren't met / don't meet expected outcome.
  • Motivate team - Ensuring team has the appropriate tools & resources to get their work done, examples can include setting up new processes, streamlining existing processes, identify where the bottleneck is in their day-to-day roles. Simple de-hassling avoids demoting.
  • Helping team play to strengths - Ensure staff are working on what they are strong at, therefore improving efficiency and morale. An Excel wizard is building spreadsheets. Think Chess. Every piece has a role they are stronger at ensuring we are working towards this ensures higher productivity.
  • Set clear expectations and provide a line of sight by setting processes and being present.
  • Ensuring team KPI's are clearly defined and met. If not being met, then address accordingly.
  • Ensuring team has the appropriate tools & resources to get their work done ensuring motivation.
  • Helping team play to their strengths and that they are doing the right role to match their skill set.
  • Onboarding & Orientation for new employees and creating a great first impression. Ensuring they have attention, training & the tools to excel in their new role.
  • Find any training opportunities for employees to empower and raise the bar.
  • Setting up induction program for new employees.
  • Liaising with clients ensuring that they are being looked after. Make clients feel important, dealing, and delegating issues to a positive result.
  • Setting up a process with sales team to ensure that any new accounts are introduced to management (GM&MD) to ensure that overview of new business is managed by appropriate customer service account member.
  • Regular check-ins with sales team on clients that may have "dropped" Utilizing reports to identify areas of concern with downturn in business or regular business disappearing.
  • Liaising with President & Sales Manager on staff culture ideas for improvement input on staff strengths that can be honed.
  • From time-to-time travel to conferences to meet and engage with agents
  • Working with software providers on behalf of the company to assist with on boarding of Saas / CRM's to empower ATOS. Delegating any workflow / training where required.
  • Contact and first port of call for CargoWise. Liaise with CW with any issues or appoint designated person to handle.
  • Dealing directly with our IT team for any issues / upgrades / email providers etc.
  • Liaise with President on future opportunities to streamline /automate business.
  • Identify new business and contacts convert into sales.
  • Liaise with recruitment agents for placement of new employees. Inclusive of supplying JD's, salary expectations, and work culture.
  • Liaise with President for placement of online opportunities at ATOS (Seek/LinkedIn etc)
  • Prepare interviews and assist in the interviewing process.
  • Prepare offers of employment & assist with contracts where applicable.Experience:
    • Minimum of 5 years of Freight Forwarding experience.
    • Minimum of 1 year of management experience.
    • Ability to lead and take initiative.
    • Empathy & ability to communicate clearly.
    • Attention to detail & planning.
    • Organization and time management.
    • Ability to build and cultivate relationships.
    • Ability to make quick decisions on key factors.
    • Understanding of operations, accounts, and sales processes.
    • Sound understanding of MS office & CW.This position offers a competitive base salary.
